Hallo zusammen,

Dear Mattias,

now that the elections are over I am asking again for the minutes of the
founding session in Brussels on the 21th of march.
I have now read the statutes and found out that article 28 says "All
functions
related to the meeting normally carried out by the board shall be carried out
by the Pirate Members of the European parliament."
http://ppeu.net/wiki/doku.php?id=statutes:final#art_28_entry_into_force

In consultation with Julia Reda on monday we came to the conclusion that you
in person should provide the minutes for the event and especially the list of
the delegates for the council of the PPEU.

All what we have right now is a rough transcript of the session that does not
meet the requirements for the minutes and is from my point of view unsuitable
as a documentation for such a historic event.
http://ppeu.net/wiki/doku.php?id=ppeu:ga:minutes2014-03-21

When I got it right and these were the rules of procedure for the session
then
here are the rough requirements for the minutes:

https://piratenpad.de/p/ppeubrussels
§ 5 Keeper of Minutes
(1) The keeper of minutes is responsible for writing minutes of the
conference.
(2) The minutes must at least include:
each time the conference chair is replaced by an aide or returns to their
position
each time the conference chair is removed and a new one is elected
all presented motions in their exact wording
the results of all votes and elections including, with the exception of votes
on procedural motions, the exact votes of all delegations
(3) The minutes must be signed after the conference by the conference chair,
the keeper of minutes and one PPEU board member.
(4) The minutes must be made accessible to all members of PPEU through the
usual means of communication without undue delay.

In addition I like to ask you to include a lists of the delegates /
participants with email and the rules of procedure. This informaton is needed
by the PPEU board to setup a mailinglist and organise a council meeting.

You could take the minutes from the statutes conferences as an example for a
decent conference documentation:

Best regards,

Jens
